The Process of Effective Communication


Effective communication is the successful exchange of information between people. It involves four key features:

1. Transmitter (Sender)

  • The sender is the person who wants to pass on information.

  • They are responsible for:

    • Deciding what message to send

    • Choosing the right medium

    • Making sure the message is clear and appropriate

2. Medium of Communication

  • This is the method used to send the message.

  • Examples include:

    • Letters

    • Noticeboards

    • Emails

    • Phone calls

  • The medium must suit the message and the receiver.

3. Receiver

  • The receiver is the person for whom the message is intended.

  • Effective communication happens only when the message reaches the right person and is understood.

4. Feedback

  • Feedback occurs when the receiver:

    • Confirms the message was received

    • Responds or takes action

  • Feedback is important because it:

    • Confirms correct understanding

    • Ensures the message has been acted upon if required
